Terms & Conditions
|

Booking your vacation involves an agreement between you and those who provide the services. Neither TWG Travel nor any Tour Operator named on your itinerary owns, manages, controls, or operates any transportation vehicle, hotel, resort, cruise ship, restaurant, or other supplier of services, and is not responsible for their acts or omissions. Please read all the information on this page carefully, since it sets out the conditions covering the travel and other services offered. Receipt by TWG Travel of any payment on your reservation, is your acknowledgement that: you have read and understood these Terms & Conditions as well as the availability of Trip Insurance for purchase. You certify that you are authorized to act for everyone named on your itinerary, and further, that you have provided this information to all passengers named on your itinerary. The information on this web site supersedes all previously published information. |

Bookings are confirmed on a "first-come, first-served" basis. Early reservations are recommended to avoid disappointment. All passengers full, legal names are required at the time of booking. Special Needs Passengers: Guests with physical disability requiring special attention or treatment must make any special needs or requests known at the time of the booking. Passengers requiring special assistance should be accompanied by a responsible adult fully able to assist the passenger. TWG Travel cannot guarantee that destination airports, coaches, transfer vehicles, and accommodations will be wheelchair accessible. Some of the events and activities available internationally and which involve transportation by bus, van, sailing or power vessel, may not have facilities for accommodating physically disabled passengers. Services required for passengers with special needs are not included in the package price, and may not be available. IMPORTANT: Names on your reservation must EXACTLY match that on your Passport presented during airline, cruise line, & hotel check-in formalities. Due to increased security measures passengers may be denied boarding if names are spelled incorrectly. Nicknames not allowed.

Unless otherwise stated, all prices are per person, in U.S. dollars, based on two adults sharing a hotel room or cruise cabin, and reflect rates in effect (including foreign exchange rates) at the time of booking. However, TWG Travel reserves the right to re-invoice your reservation should an error be made in computing your package price. Please Note: Under deregulation, airfares and prices in general may be increased at any time without notice. Special offers may be withdrawn at any time. All bookings are subject to any applicable fare increases or surcharges beyond the control of TWG Travel, including but not limited to increases in or the establishment of fuel or other surcharges, departure taxes, tariffs, or passenger facility charges. Groups: Group cruises, group tours, group packages, or other group services are based on a minimum number of passengers traveling together. If the number of passengers falls below the minimum required, a surcharge may be imposed on all passengers or the group may be cancelled. Prices valid from U.S. departure cities only.

3. PAYMENTS:
A. Accepted Forms of Payment: Unless otherwise indicated on your invoice, TWG Travel will accept personal checks, cash, money order, cashier's check, and the following credit cards: Visa, MasterCard, American Express, and Discover as valid forms of payment for bookings. TWG Travel reserves the right to modify this policy based on client status and prior credit approval.
B. Payment Policies: Unless otherwise indicated on your invoice, full payment or a deposit of $250 per person plus optional trip insurance, is due with your reservation to secure your booking. Full payment by credit card is required at the time of booking for all bookings made 60 days or less prior to departure. Bookings made using published airfares, promotional air fares, or specially requested flights may require immediate deposit or payment in full at the time the booking is made. The deposit amount will be determined by the hotel and airfare selected. Your reservation is not confirmed until payment is received. During certain holidays and peak periods and/or for certain itineraries, this payment date may be changed. Payments made on a booking for travel within 21 days of departure require payment in full by credit card. Payment for bookings made using regular published airfares require payment by credit card. CREDIT CARD PAYMENTS require a signed authorization form. Download from the Travel Center Concierge on our web site. Consumers paying by credit card may have more protection than those paying by cash or check.

A. Cancellation/change fees apply to all deposited and guaranteed bookings. Passengers are asked to notify TWG Travel immediately of their intention to cancel. Cancellation fees are calculated based on the date TWG Travel and the suppliers named on your itinerary receive notice of cancellation. The cancellation fee shown below is not a penalty, but reasonable, liquidated damage to compensate TWG Travel for pre-payments made on advance booking of travel services, and for the administrative costs involved in processing the booking and cancellation. These fees are in addition to any charges assessed by suppliers such as Tour Operators, Cruise Lines, Hotels, or Airlines. Cancellation charges are based on the number of days your cancellation is received prior to scheduled departure. Unless otherwise shown on your invoice or group agreement, the following cancellation charges will apply. Holidays, peak periods, and certain itineraries are subject to additional fees.
Up to 61 days prior.........$100 per person 60-31 days prior .............$150 per person 30-0 days prior...............$200 per person |
B. Revisions and changes: Unless otherwise shown on your itinerary or group contract, a $35 per reservation charge will apply to all changes (including name substitutions) of deposited or guaranteed bookings. This charge will be over and above any charges imposed by cruise lines, airlines, tour operators, hotels, or other suppliers, and in addition to any increase in fare. Name changes are subject to hotel, airline, and/or cruise line acceptance and penalties. No changes are allowed after documents are issued, or additional charges will apply. In the event the initial room occupancy changes due to the cancellation of one or more passengers, the remaining passenger(s) will be responsible for the new occupancy rate.
C. Cancellation of Services: In the event a group or group tour is cancelled by TWG Travel, the Tour Operator or Cruise Line, TWG Travel will have no responsibility beyond the refund of all monies received, which will be deemed to constitute full settlement.
D. Special Requests - Special requests such as room locations, adjoining or connecting room, bed preferences, in-flight meal requirements, seating requirements, dining requirements on ships, etc. cannot be guaranteed by TWG Travel or the Tour Operator. Although we will make such requests of the supplier, neither TWG Travel nor the Tour Operator named on your itinerary can be held responsible if such special requests are not fulfilled. CLAIMS, REFUNDS, & UNUSED SERVICES: TO BE ACCEPTED, ANY REFUND CLAIM MUST BE MADE BY THE PASSENGER, IN WRITING, AND RECEIVED BY TWG TRAVEL WITHIN 30 DAYS OF THE SCHEDULED END OF THE TRIP OR CRUISE. All refund claims must be submitted in writing and sent by registered mail to the address of TWG Travel below. Under no circumstances shall passenger claim from TWG Travel an amount in excess of the costs of the vacation paid by the passenger to TWG Travel. No refund or adjustment will be made for any changes, cancellations, or modification of services provided in the itinerary, if such changes are made by the passenger during the trip or cruise.
Unused services are refundable only to the extent that TWG Travel receives a refund from suppliers such as cruise lines, airlines, tour operators, and hotels, after deducting any cancellation charges levied by these suppliers. To get a prompt refund for unused services, clients must submit written proof from the hotel or other operator that services were unused and are refundable. No responsibility is accepted for expenses or lost vacation time incurred due to delay, aircraft reroute, change in schedule, or any other causes. Any refunds are offered with the express understanding that the receipt of that refund by passenger waives any additional remedies. Canceled tickets must be returned for proper credit to your account. Lost, stolen, or destroyed tickets must be paid for until refund is received from the issuing carrier, subject to an airline imposed service charge, in addition to any revision or cancellation charges advised that may apply.

|
A. Flight Confirmation: All flight times, flight itineraries, and carriers are subject to change with or without prior notice. We strongly recommend that passengers reconfirm exact flight times with the carrier prior to departure: 24 hours prior to departure for domestic flights, and 72 hours prior for international flights. Failure to reconfirm or to use any reservation may result in automatic cancellation of all continuing and return reservations.
B. Check - in: The minimum check-in time for most domestic flights is 2 hours, and at least 3 hours for international flights. In addition, air travelers must report to the gate at least 30 minutes prior to departure time. Failure to comply with this regulation may result in the loss of the seat to another passenger. Neither TWG Travel nor the Tour Operator can be held responsible if you miss your flight or are denied boarding. This information requirement varies by carrier. Passengers are advised to determine exact requirements from the carrier.
C. Connecting Flights: Passengers with connecting flights are advised to allow ample time (minimum 3 hours/recommend overnight) between flights. Neither TWG Travel, the Tour Operator nor Cruise Line shall be responsible for any additional charges incurred for air fares or other expenses incurred as a result of irregular airline operations which result in changes to flight times and/or subsequent mis-connections (see Optional Vacation Insurance).
D. Excursion and promotional fares: Most discount fares involve certain restrictions. Any change in carrier(s), flight(s), time(s), or routing(s) could result in carrier demanding a full fare. Obtain agency or airline assistance before making any changes. Airline tickets are non-refundable once issued.
E. IMPORTANT: If you arrive at an airline ticket or passenger check - in counter with your confirmed ticket and find that the airline shows no reservation for you - do not leave the counter. The airline must accommodate you on that flight, or if that is not possible, they must either find you a substitute flight or pay you denied boarding compensation.

REQUIREMENTS MAY CHANGE, SO WE RECOMMEND THAT ALL IMMIGRATION REQUIREMENTS BE VERIFIED WITH THE TOURIST OFFICE OR CONSULATE OF THE FOREIGN COUNTRY, WELL BEFORE DEPARTURE. In the event that passenger does not possess the documentation required by the destination or the carrier, the carrier reserves the right to refuse passage. NO REFUNDS WILL BE MADE IF IMPROPER DOCUMENTATION RESULTS IN DENIED BOARDING OR ENTRY. |

Customs and/or immigration officials can, at their own discretion, deny the passenger entry into their country. For example, a previous criminal record could be an obstacle in international travel, leading to denied entry. TWG Travel, and/or any other supplier of services cannot be held responsible for denied entry under any circumstances.
